Job Description

Position Summary

This role supports the education and meeting services teams to ensure the effective and efficient delivery of events, conferences, virtual programs, and other professional development offerings. This role involves both behind-the-scenes coordination and on-site support at events.

Essential Responsibilities

  • Develop and maintain spreadsheets to track speakers, documentation, invoices, and logistics
  • Prepare pre-event materials, including confirmation emails, sign-in sheets, name badges, evaluations, and shipment supplies
  • Coordinate and assemble meeting materials and packets for both in-person and virtual events
  • Assist with event-related shipments and supply management
  • Provide on-site support at conferences and meetings, including registration desk coverage and logistics
  • Manage post-event tasks such as compiling evaluations, confirming attendance, and issuing certificates
  • Process event-related invoices and coordinate payments
  • Manage attendee data using a member or event database and support logistics for virtual platforms (e.g., Zoom)
  • Develop and manage mobile apps for events with support from internal and external teams
  • Update web pages related to education programs and events
  • Serve as a back-up for processing registrations and coordinating with finance on payments and refunds
  • Respond to member or attendee inquiries related to events
  • Maintain inventory of supplies and order materials as needed
  • Ensure compliance with continuing education standards, including maintaining accurate records and summarizing evaluations
  • Assist with general office duties and other projects as assigned

Required Education and Experience

  • College degree or equivalent professional experience
  • Strong multitasking and prioritization skills in a deadline-driven environment
  • Proficiency with Microsoft Office Suite and comfort with technology platforms
  • Experience using video conferencing tools (e.g., Zoom, Teams)
  • Excellent written and verbal communication skills
  • Strong attention to detail and organizational abilities
  • Demonstrated customer service skills
