POSITION PURPOSE
Coordinates and audits department processes, scheduling work to be performed by maintenance personnel. Assists with day-to-day Operations Maintenance coordination and project implementation.
RESPONSIBILITIES AND RESULTS
• Dispatches emergency work orders and/or PM’s to appropriate skilled trade’s maintenance member, utilizing radio, ensuring all work orders are appropriately scheduled. Prioritizes non-emergency work orders based on level of urgency and equipment criticality. Coordinates with vendors for onsite visits.
• Supports Maintenance department's maintenance system, per established timing schedule.
Assigns dates for work to be performed. Performs input on computerized maintenance system, creating work orders, and entering labor and parts costs. Audits and corrects information and resolves problems to ensure accuracy of reported data.
• Maintains asset tagging records and equipment information files. Enters data in computerized maintenance system for asset management, including new equipment warranties, supplier, and contact information. Updates and organizes equipment manuals, blueprints, files, and other information materials, ensuring integrity of all information materials.
• Administers department Enterprise Maintenance Planning and Control (EMPAC) Preventive
Maintenance (PM) system. Enters new PMs in EMPAC, maintains PM system, and issues PM work orders to lead members for distribution to ensure all EMPAC administration is complete and correct. Enters labor tickets to EMPAC and runs open work order reports in EMPAC.
• Prepares Maintenance activity reports, ensuring all administrative documentation for reports is current and correct. Provides historical maintenance information concerning departmental equipment in response to verbal requests. Creates, stores, and updates pertinent spreadsheet, word document, and graphic summations.
• Performs project management activities as assigned, including performing research, making supplier contact, implementing program, and following-up with vendor.
• Responds to telephone requests and inquiries to provide resolution. Serves as first-line problem solver for EMPAC issues.
• Maintains inventory of office supplies, orders new supplies, and resolves issues with vendor. Researches new office equipment and makes recommendation for purchase. Sorts, routes, and/or posts mail.
QUALIFICATIONS
Education
• High school diploma or equivalent.
• Associates degree in business or equivalent preferred.
Work Experience
• One year administrative or office management experience, including experience with spreadsheet, word processing, presentation, and automated timekeeping (i.e. Workforce) applications.
• Enterprise Maintenance Planning and Control (EMPAC) and Business Objects software experience preferred.
Skills and Knowledge
• Proficient PC and keyboard/mouse skills required.
• Working familiarity with various software programs, including word processing and spreadsheet applications required. Demonstrated working knowledge of relational software; ability to develop and run basic reports and queries.
• Excellent interpersonal, written and verbal communication, coordination, administrative, analytical, problem-solving, and negotiating skills.
• Ability to be regularly exposed to production environment.
